Privacy Policy

This policy explains what personal information HeyDocket collects, why, and what you can do about it. It covers this website, heydocket.app, and the HeyDocket service: the institute portal and the student app.

Who we are

HeyDocket is a product of Altrizo Labs (“we”, “us”). You can reach us about anything in this policy at [email protected].

Information we collect on this website

You can read this website without giving us any personal information. We don't use advertising or tracking cookies, and we don't run analytics on the site.

  • Demo request form. If you send us your details, we receive your name, email, institute, phone number (if given), student count and message. The form is delivered to our inbox by Web3Forms.
  • Booking a call. Appointment booking runs on Google Calendar. Google collects the details you enter under its own privacy policy and shares the booking with us.
  • Technical data. Like every website, our hosting provider (Cloudflare) processes your IP address and basic request details to deliver and secure the site. One font on the site is served by Google Fonts, which also receives your IP address.

Information in the HeyDocket service

When an institute uses HeyDocket, we process:

  • Institute and staff details, such as names, email addresses and roles.
  • Student details the institute provides, such as names, contact details, the courses they are enrolled in and the dates their access ends.
  • Usage and security data, such as sign-ins, the device a student is signed in on, watch time, completion, live-class attendance and blocked access attempts.
  • Content the institute uploads, such as videos, PDFs and documents.

For student information, the institute decides what is collected and why, and we process it on the institute's behalf. If you are a student, your institute is your first point of contact for questions about your data.

How we use information

  • To provide and run the HeyDocket service for institutes and their students.
  • To protect institutes' content: enforcing one login per student, blocking screen recording and unauthorised devices, and showing the student's username as a watermark on videos.
  • To give institutes reports on watch time, attendance and progress, per student and per course.
  • To reply to demo requests and enquiries, and to send quotes.
  • To keep the service secure, fix problems and improve it.
  • To meet legal obligations.

We do not sell personal information, and we do not use it for advertising.

Our legal basis

We handle personal information in line with Sri Lanka's Personal Data Protection Act, No. 9 of 2022, and other laws that apply. Depending on the situation, we rely on performing a contract with the institute, our legitimate interest in keeping the service and its content secure, your consent where it is required, and compliance with the law.

Who we share it with

  • Service providers that help us run HeyDocket, such as hosting, storage, video delivery and email providers, under agreements that limit how they can use the data.
  • Your institute. Student activity, such as watch time and attendance, is shown to the institute the student is enrolled with.
  • Zoom, when an institute connects its own Zoom account to run live classes through HeyDocket.
  • Authorities, when the law requires it.
  • A buyer or successor, if Altrizo Labs or HeyDocket is reorganised, merged or sold, under the same protections described here.

International transfers

Some of our service providers store or process data outside Sri Lanka. When that happens, we take reasonable steps to make sure the information stays protected to the standard this policy describes.

How long we keep it

We keep demo requests and enquiries for as long as we need them to follow up, and no longer than 24 months unless you become a customer. We keep service data for as long as the institute's account is active. After an account closes, we delete or anonymise its data within a reasonable period, unless the law requires us to keep it longer.

Security

We use reasonable technical and organisational measures to protect personal information, including encrypted connections and access controls. No system is completely secure, so we can't guarantee absolute security, but we work to protect your information and will act promptly if something goes wrong.

Students under 18

Many students on HeyDocket are under 18. Institutes are responsible for having the right to add their students to HeyDocket, including any consent needed from parents or guardians. This website is meant for institutes and tutors, and we don't knowingly collect information from children through it.

Your rights

Subject to the law, you can ask to access, correct or delete your personal information, withdraw consent you've given, or object to how it is used. Email [email protected]. If you are a student, please contact your institute first; we will help them respond. If you're not satisfied with our response, you can complain to the Data Protection Authority of Sri Lanka.

Changes to this policy

We may update this policy as HeyDocket changes. We'll change the date at the top when we do, and tell institutes about significant changes before they take effect.
